I am committed to keeping your personal data safe and secure. 

 

Due to a change in the law, I am updating our Privacy Policy to make it easier for you to understand what information we collect and keep, why we collect this information and how your data is being handled when you cease using our services. 

 

We will take all appropriate technical and organisational steps to protect the confidentiality, integrity, availability and authenticity of your data. 

 

The purpose of this policy 

 

This Privacy Policy is designed to help you understand what kind of information we collect in connection with our service and how we will process and use this information. In the course of providing you with services we will collect and process information that is commonly known as personal data. 

 

This Policy describes how we collect, use, retain and safeguard personal data. It also sets out your individual rights to know what data is held about you, how this data is processed and how you can place restriction on the use of your data.

Working from a small clinic in Hemel Hempstead, I am a Complementary Therapist, treating private individuals as well as looking after a number of Corporate Clients.

What is Personal data

 

When you have a therapy or treatment session your personal details and health notes will be taken. These are often called your case notes.  This may include personal details such as name, address, and date of birth, email and telephone numbers. These are totally confidential, anything written or spoken or kept, as notes are never shared with anyone else unless specifically requested by you. 

 

By law and for insurance purposes, your records must be kept for at least 10 years following your last treatment.  In the case of treatment to minors, it is advisable that records should be kept for at least 10 years after they reach the age of majority (18).  All case notes are kept in a locked fireproof cabinet. However if I have not seen you for a couple of years or so, I will often ask you to complete your case history again.  This is because things change and I will need a clear up to date profile of your health and any concerns you have.

Information will be personally collected by email and phone, and during consultations.

 

 

How we use personal data

 

It will only be used to work with individual clients to deliver the best service, and avoid contra indications.

 

I may send you follow up emails to confirm what has been discussed in treatment, and will also email or text appointment confirmations and availabilities

 

From time to time I may send a newsletter, however there will be an option to unsubscribe to the emails sent

How we protect your personal data 

 

Hard copies of client records are in a locked fireproof filing cabinet

 

Computers are all password protected

 

I do not transfer personal data outside the UK 

 

Your rights 

 

Individuals can exercise their Individual Rights at any time. As mandated by law we will not charge a fee to process these requests, however if your request is considered to be repetitive, wholly unfounded and/or excessive, we are entitled to charge a reasonable administration fee. 

In exercising your Individual Rights, you should understand that in some situations we may be unable to fully meet your request. For example if you make a request for us to delete all your personal data, we may be required to retain some data for legal purposes as advised by my insurance cover.

You should understand that when exercising your rights, a substantial public or vital interest may take precedence over any request you make. In addition, where these interests apply, we are required by law to grant access to this data for law enforcement, legal and/or health related matters.
